Welcome to MediaTranscriber.com. By using our audio, video, transcription, podcast hosting, member-supported podcast, and related publishing services, you agree to be bound by these Terms & Conditions. Please read them carefully before using our services.

1. Service Description

MediaTranscriber.com provides automated audio and video transcription, creator workflow, and podcast hosting services designed for YouTubers, podcasters, production companies, and content creators. Our service uses advanced artificial intelligence technology to convert spoken content into written text, with automatic speaker identification and timestamps.

1.1 Core Features

Our service includes:

• Transcription: Accurate speech-to-text conversion in 56 languages
• Speaker Identification: Automatic detection and labeling of different speakers
• AI Tools: AI-powered transcript cleanup, title suggestions, show notes, social media posts, bullet point summaries, and chapter markers
• Translation: Translate transcripts to 56 languages
• Export: Download transcripts in multiple formats (PDF, DOCX, TXT, SRT)
• Podcast Hosting: Hosted podcast feeds, private member feeds, episode publishing, public episode pages, show notes, transcripts, chapter files, and media delivery where available
• Cloud and Automation: Google Drive/Dropbox import and export, reusable intelligence, transcript QA, organization approval, workflows, service API keys, and outbound webhooks where available

1.2 Cloud Connections, Voice Matching, API, and Analytics

Cloud connections authorize MediaTranscriber.com to read files you select and write exports to destinations you select. We do not move or delete remote source files. You are responsible for cloud-provider permissions, quotas, account security, and third-party terms.

Known-speaker matching requires consent from the enrolled speaker and is a convenience signal only, not identity verification. You must review important speaker assignments and must not use a match as proof of identity, presence, authorization, or wrongdoing.

Portrait-likeness profiles require you to attest that you are the depicted person or have their explicit permission. Portraits are stored by MediaTranscriber.com and uploaded to OpenAI as image references for thumbnail or cover-art generation. You are responsible for having all necessary privacy, publicity, and intellectual-property rights and must not use the feature for impersonation, deception, harassment, or other unlawful purposes.

Organization API keys and webhook secrets are credentials. You are responsible for restricting, storing, rotating, and revoking them and for securing receiving endpoints. Automated and third-party services may fail, retry, duplicate an idempotent event, or be delayed.

Hosted podcast listener/download analytics are IAB-aligned but not IAB certified. Counts are estimates affected by byte ranges, apps, caching, bots, preloads, filtering, privacy controls, and incomplete delivery information. First-party listener analytics are unavailable for media delivered only by an external host.

Publishing integrations send content and selected media to third-party accounts you authorize. Public or scheduled publication can have immediate external consequences; you are responsible for reviewing metadata, rights, disclosures, audience settings, approval state, and publication time. Retry and idempotency safeguards reduce but cannot eliminate all third-party duplication or delay.

Release packages are temporary generated archives retained for 7 days, not permanent backup storage. You must download required packages before their retention window expires and independently verify editor timeline compatibility.

Custom podcast domains depend on Cloudflare, DNS, and certificate validation. Only supported CNAME subdomains are accepted. Activation, renewal, or continued availability is not guaranteed if DNS, provider configuration, ownership, or your subscription changes.

Audience campaigns may be sent only to recipients who explicitly opted in. You are responsible for lawful content, segmentation, reply handling, suppression and consent requirements. Tracking pixels and custom sending domains are not included.

1.3 Video File Processing

When you upload a video file, the audio track is automatically extracted for transcription. You can choose to enable video features per episode, which retains the original video and allows chapter-based clip generation and downloads. If video features are not enabled, only the extracted audio is retained.

1.4 Podcast Archive Service

Our podcast archive service allows you to transcribe your entire podcast catalog and automatically transcribe new episodes as they publish from an external RSS feed. This includes:

• RSS Feed Integration: Connect your podcast's RSS feed to import episodes
• Archive Transcription: One-time transcription of your entire back catalog
• Auto-Transcription: Automatic transcription of new episodes (subscription required)
• AI-Powered Search: Search across all your episodes using keywords or AI questions
• Public Search Pages: Optionally share a searchable page with your audience

1.5 Hosted Podcast Platform

Our hosted podcast features allow you to create podcasts hosted by MediaTranscriber.com, publish uploaded or edited audio episodes, maintain show notes, add or import timestamped chapter markers, expose transcripts where available, and generate RSS feeds for podcast directories. Hosted podcast features may include:

• Hosted RSS Feeds: RSS feeds generated by MediaTranscriber.com for published hosted episodes
• Hosted Media Delivery: Public episode audio URLs served by MediaTranscriber.com for podcast apps and directories
• Show Notes and Chapters: Editable episode descriptions and chapter markers, including markers parsed from timestamped show notes or embedded audio metadata where supported
• Transcripts: Transcript files linked from RSS when a hosted episode is connected to a transcription
• Member-Supported Feeds: Private subscriber RSS feeds, paid subscription options, discount coupons, and paywalled episode delivery where enabled for your account
• Guided Distribution: Feed validation guidance and submission links or instructions for services such as Apple Podcasts and Spotify
• Outgoing Feed Redirects: Permanent redirects from your former MediaTranscriber.com feed to a feed at another host, retained independently of podcast content so the redirect can continue after account closure
• Advertising Tools: Tools for managing ad assets, ad markers, and dynamic ad insertion where enabled for your account

Directory submission is not guaranteed. You are responsible for submitting, verifying, and managing your podcast in third-party directory accounts such as Apple Podcasts Connect and Spotify for Creators unless a separate written agreement states otherwise. Third-party platforms may reject, delay, remove, modify, or impose requirements on your show, metadata, artwork, transcripts, chapters, or audio files.

1.6 Member-Supported Podcast Feeds

If you enable member-supported podcasts, you are responsible for configuring subscription plans, pricing, coupons, public/free episode versions, subscriber-only episode versions, and any external messaging about subscriber benefits. Subscriber payments are processed through Stripe where enabled. Private RSS feed URLs are access credentials and must be treated as confidential by you and your subscribers.

We may revoke or rotate private feed tokens to prevent abuse, resolve support issues, respond to payment failures, or protect paid content. We do not guarantee that every podcast app will support private feeds, tokenized media URLs, private chapters, or private transcript links in the same way.

1.7 Podcast Audio Storage and Compression

IMPORTANT: When you add a podcast to our service, episode audio files are downloaded and retained as a service copy. To optimize storage costs and service sustainability, audio is converted to a compressed mono format. The preferred output is MP3 at 64 kbps; if that encoder is unavailable, the service may use Opus, Vorbis, or AAC at a comparable voice-oriented bitrate.

This compression process may affect audio quality. While the compressed audio retains good quality suitable for playback and reference, it may not match the original audio file's quality. The compressed audio is:

• Suitable for listening, review, and reference purposes
• Sufficient for accurate transcription and playback in our interface
• Not intended as a master archive or replacement for your original files

You should always maintain your own backup copies of original, uncompressed audio files. We are not responsible for any loss of audio quality resulting from this compression process.

2. Acceptance of Terms

By uploading files to our service, creating an account, or making a payment, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions. If you do not agree to these terms, please do not use our services.

3. User Responsibilities

3.1 Content Ownership

You represent and warrant that you own or have the necessary rights and permissions to upload, transcribe, host, distribute, monetize, and advertise against the audio/video content you submit. You are solely responsible for ensuring that your use of our service does not infringe on any third-party rights.

3.2 Prohibited Content

You agree not to upload content that:

• Violates any applicable laws or regulations
• Infringes on intellectual property rights of others
• Contains illegal material or promotes illegal activities
• Is defamatory, threatening, or harassing

3.3 Archiving Responsibility

You are responsible for staying within your account storage allowance. Paid accounts retain transcripts and media while the subscription remains active. After the paid term ends, the account becomes read-only for 14 days and is then suspended without automatic file deletion. Optional auto cleanup removes only the transcription media categories and age selected by an account manager.

4. Payments and Refunds

4.1 Secure Payments

All payments are processed securely through Stripe, a PCI-DSS compliant payment processor. We do not store your credit card information on our servers. Your payment details are transmitted directly to Stripe using industry-standard TLS encryption.

4.2 Pricing

Transcription pricing is based on the duration of your audio/video file. Current pricing is displayed on our Pricing page. Prices may be subject to change, but any changes will not affect purchases already made.

4.3 Volume Packs

Prepaid volume packs are non-refundable. Minutes purchased in volume packs are valid for 1 year from the date of purchase and cannot be transferred or exchanged for cash.

4.4 Storage Capacity

Paid account subscriptions include persistent media storage within an account allowance. Optional storage-capacity blocks increase the total cap for audio, video, transcripts, and generated media for the period shown at checkout. Storage-capacity purchases are non-refundable except where required by law.

4.5 Account Subscriptions

Account subscription plans provide automatic transcription of new imported-feed episodes and access to hosted podcast publishing features where available. Subscriptions are billed monthly and include processing time, AI credits, retention, storage capacity, and the configured number of podcasts. Plans sold at the annual-commitment price require twelve monthly payments and cannot be canceled during the commitment period; monthly-price plans may be canceled at the end of the current billing period. If usage exceeds plan limits, related processing or publishing may be paused until capacity is available.

4.6 Hosted Podcast Bandwidth, Storage, and Advertising

Hosted podcast plans may involve storage, bandwidth, media processing, feed delivery, transcript delivery, chapter delivery, and advertising-related usage. We may apply fair-use limits, plan quotas, or additional charges for unusually high usage, high-volume downloads, ad delivery, media rendering, storage growth, or other usage outside typical podcast operation. Advertising tools do not guarantee ad sales, fill rate, revenue, campaign performance, or directory/player compatibility.

Member-supported podcast payments, discount coupons, and private feed access depend on Stripe, podcast app behavior, and the subscription settings configured by the podcast owner. We do not guarantee subscriber sales, subscriber retention, coupon redemption, payment approval, revenue amounts, or that a private RSS feed will remain confidential after a subscriber receives it.

4.7 Public Search Packs

Public search packs allow visitors to search public podcast archives. Credits are tied to the email address used at purchase and do not expire. Credits are non-refundable and non-transferable.

4.8 Refunds for Failed Transcriptions

If a direct pay-as-you-go transcription permanently fails after payment, we automatically refund the full Stripe charge, including tax. A paid failure cannot also be retried after refund processing begins. If prepaid minutes were used, the deducted minutes are restored automatically and the transcription may be retried. Stripe refunds typically appear on your statement within 5-10 business days.

4.9 Reasonable Use – Subscription Storage

Account subscription plans include storage for transcribed episodes as part of normal podcast use. We expect most subscribers to use our service for their podcast content in a typical manner. If your use is unusual (for example, importing an exceptionally large archive combined with high-volume automated access), we may contact you to discuss your needs. This clause is intended to address rare abuse or edge cases, not normal heavy use by active podcasters. We will not require you to delete any content; we only ask for a conversation if usage appears outside the scope of typical podcast operation.

5. Privacy and Data Handling

5.1 File Processing

Your uploaded files are processed using our configured third-party transcription providers. Files may also be processed for hosted podcast publishing, public and private feed delivery, media delivery, compression, chapter extraction, transcript generation, ad insertion, and related operational purposes. Files are transmitted securely and are only used to provide the requested service. We do not use your files or transcriptions for training AI models or any other unrelated purpose.

5.2 AI Tools

Our AI-powered tools (title suggestions, show notes, social media posts, summaries, and translations) use your transcript content to generate helpful outputs. This content is processed by the AI provider and model configured for the requested tool, which may include OpenAI or Fireworks AI. Generated content is cached to improve performance but is deleted when your transcription expires. You retain full ownership of all AI-generated content based on your transcripts.

5.3 Portrait Likeness Processing

If you enable portrait likeness, MediaTranscriber.com normalizes and stores the portraits you select and uploads them to OpenAI as image references for requested thumbnail or cover-art generation. You must have the depicted person's explicit permission. Removing a portrait or profile makes it unavailable in MediaTranscriber.com immediately; we attempt local and OpenAI deletion at once and retry temporary cleanup failures. Changes and deletion are unavailable while an image generation using that profile is active.

5.4 Data Retention

Paid account media and transcripts are retained while the subscription is active. A failed renewal provides 14 days of read-only access before suspension; suspension itself does not automatically delete data. Trials and administrator-created test accounts are suspended when their access period ends and scheduled for deletion after 14 days unless the trial is upgraded or an administrator intervenes. Account managers may separately enable optional age-based cleanup for ordinary transcription media.

5.5 Account Deletion

Self-service account deletion is unavailable while an annual account commitment is active; contact support to settle the commitment or submit a privacy-rights request. Before any other account deletion request is accepted, active monthly account subscriptions and affected podcast memberships are cancelled through Stripe. A failed cancellation blocks the request; a confirmed cancellation is not automatically reversed. Accepted requests disable login immediately and are finalized after 14 days. Final deletion removes media files, transcripts, retained videos, generated clips, podcast content, connected tokens, and related non-required account data. An outgoing hosted-feed redirect you configured may remain active after account deletion. We retain its old feed path, destination URL, podcast title, account reference, dates, and status as an operational routing record without your email address until an administrator deactivates or deletes it following periodic review. We otherwise retain only billing, accounting, contract, and legal-claims records that must remain available, with personal account details anonymized where possible. 5.6 Data Security

We use security controls including HTTPS connections, access controls, hashed passwords, encryption for supported integration and authentication secrets, revocable sessions, and request-validation protections. However, no system is 100% secure, and you acknowledge the inherent risks of transmitting data over the internet.

6. Limitation of Liability

6.1 No Guarantee of Accuracy

IMPORTANT: While we strive to provide accurate results, our service uses automated AI technology that may produce errors. We do not guarantee the accuracy of transcriptions, translations, hosted feed metadata, or any AI-generated content (including titles, show notes, social media posts, summaries, transcripts, or chapter markers).

You are solely responsible for reviewing, verifying, and correcting all output before use. This is especially critical when accuracy matters for:

• Legal, medical, financial, or official documents
• Published content, articles, or public communications
• Hosted podcast feeds, episode metadata, show notes, transcripts, chapters, and ad markers
• Captions or subtitles for accessibility purposes
• Any context where errors could cause harm or liability

By using our service, you acknowledge that all transcriptions, translations, hosted podcast metadata, and AI-generated content require human review and that you accept full responsibility for the use of this content.

6.2 Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access to our services, hosted RSS feeds, private member feeds, hosted media URLs, public pages, ad delivery, Stripe checkout, or third-party directory integrations. We are not liable for any temporary unavailability due to maintenance, technical issues, traffic spikes, third-party service outages, directory/player behavior, or circumstances beyond our control.

6.3 Data Loss

IMPORTANT: We are not liable for any loss of files, transcriptions, or data. This includes, but is not limited to, losses due to:

• Technical failures or system errors
• Automatic expiration and deletion of files
• Hosted RSS feed, private member feed, hosted media, transcript, chapter, or public page interruptions
• User error or failure to download files before expiration
• Third-party service outages (including AI providers)
• Security breaches or unauthorized access
• Force majeure events

You acknowledge that you are solely responsible for maintaining backup copies of your original files, episode masters, published metadata, and transcripts.

6.4 Maximum Liability

To the maximum extent permitted by law, our total liability for any claims arising from your use of our service shall not exceed the amount you paid for the specific transcription that is the subject of the claim.

7. Intellectual Property

You retain all rights to your original content and the transcriptions generated from it. We claim no ownership over your content. The MediaTranscriber.com service, including its design, features, and technology, remains our intellectual property.

8. Changes to Terms

We may update these Terms & Conditions from time to time. Material changes will be communicated to registered users via email. Continued use of our service after changes constitutes acceptance of the new terms.

9. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of Norway. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of Norwegian courts.
